Your Capability Statement Blueprint

8 Essential Sections

Every strong capability statement follows the same proven structure. Here's what to include and how to make each section shine.

Company Overview

Lead with your company name, ownership status (veteran-owned, woman-owned, minority-owned, etc.), location, and specialization. Convey years of experience, key services, and your commitment to quality in a concise snapshot.

Aim for 330–350 characters

Contact Info & Identifiers

Include your UEI number, CAGE code, email, phone, and website. These identifiers are critical for government contracting β€” keep them accurate and professional.

Core Competencies

Highlight your key services and what makes your offerings critical to clients. Think of this as your product description β€” state your specialization, production capabilities, and reputation for quality delivery.

Past Performance

Document your track record with specific projects and quantifiable outcomes. Did you improve efficiency by 20%? Reduce costs? Mention the clients you've served and the standards you meet.

Differentiators

What sets you apart from competitors? Highlight unique technologies, certifications, proprietary processes, or specialized expertise. Show how your unique qualities translate into client benefits.

Pro Tips

Make Your Statement Stand Out

Expert advice from the Empower to Grow team to help you craft a winning capability statement.

Keep It to One Page

Your capability statement should be a one-page snapshot of your business. Keep each section concise (330–350 characters) so everything fits cleanly without feeling cramped.

Quantify Your Results

In your Past Performance section, use specific metrics whenever possible. "Improved efficiency by 20%" is far more compelling than "improved efficiency." Numbers build credibility.

Lead with Your Classification

If you're a veteran-owned, woman-owned, minority-owned, HUBZone, or 8(a) business, mention it right at the top of your Company Overview. This connects with contract requirements immediately.

Print on Quality Paper

Use 100–120 gsm paper in a matte or glossy finish. Save as PDF first, then print. Consider a professional printing service like Vistaprint for the best impression at conferences and events.

Get Your NAICS Codes Right

Only list the top 5 most relevant NAICS codes. Include both the code number and a brief description. Incorrect or irrelevant codes can cause contracting officers to overlook your business.

Update Regularly

Your capability statement is a living document. Update it whenever you complete a major project, earn a new certification, or change your service offerings. Stale information costs opportunities.
